SpacioHub is a workspace management platform. We take your privacy seriously. This policy explains what data we collect, how we use it, and your rights.
1. Who We Are

2. What Data We Collect
We collect only the data necessary to provide the service:
- Account data — name, email address, and password when you sign up
- Booking data — meeting titles, dates, times, room selections, and attendee counts
- Visitor data — names, email addresses, and company names of visitors you register
- Usage data — how you use the app, which features you use, and when
- Device data — device type, operating system, and browser type for the Door Display app
We do not collect payment card information directly — payments are handled by Stripe.
3. Door Display App — Specific Data
The SpacioHub Door Display app (available on Google Play and Apple App Store) collects:
- Room booking data — to display current and upcoming bookings for the assigned room
- Guest booking information — name and email entered by visitors making a guest booking
- Device settings — display preferences stored locally on the device (PIN, room assignment, display theme)
The Door Display app does not access your camera, microphone, contacts, location, or any other device data.
4. How We Use Your Data
- To provide and operate the SpacioHub service
- To send booking confirmation and reminder emails
- To notify hosts when their visitors arrive
- To generate analytics about workspace utilisation
- To respond to support requests
- To improve the product based on usage patterns
We do not sell your data to third parties. We do not use your data for advertising.
5. Data Storage & Security
Your data is stored in a secure PostgreSQL database hosted by Supabase (EU West region). All data is encrypted in transit (HTTPS/TLS) and at rest. We use Row Level Security (RLS) to ensure each organisation can only access their own data.
Your organisation's data is completely isolated from other organisations on the platform.
6. Third-party Services
SpacioHub integrates with the following third-party services:
- Supabase — database and authentication hosting (EU)
- Vercel — application hosting and CDN
- TurboSMTP — email delivery (EU)
- Zoom — video meeting link generation (when enabled)
- Google OAuth — optional sign-in with Google
- Microsoft OAuth — optional sign-in with Microsoft
- Stripe — payment processing (card data never touches our servers)
- Anthropic Claude — AI room booking suggestions (Pro/Max plans)
Each of these services has their own privacy policy. We share only the minimum data necessary for each integration to function.
7. Data Retention
- Active accounts — data retained while your account is active
- Cancelled accounts — data deleted within 90 days of cancellation upon request
- Booking history — retained for 2 years for analytics purposes
- Visitor logs — retained for 1 year for security and compliance
8. Your Rights
You have the right to:
- Access — request a copy of your personal data
- Correction — update incorrect data via your account settings
- Deletion — request deletion of your account and data
- Export — download your booking data as CSV (Max plan)
- Objection — object to processing of your data

9. Cookies
SpacioHub uses only essential cookies and localStorage for:
- Keeping you signed in (authentication session)
- Storing Door Display settings locally on the tablet (room assignment, PIN, display preferences)
We do not use advertising cookies or third-party tracking cookies.
10. Children's Privacy
SpacioHub is not directed at children under 13. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us immediately.
11. Changes to This Policy
We may update this privacy policy from time to time. We will notify account holders by email of any significant changes. The "Last updated" date at the top of this page will always reflect the most recent version.
